E-Mail/Web Hosting Question

    This one's more for the IT/Tech specialists. I've always been pretty good with tech but corporate e-mail/IMAP stuff I just don't understand. I have GSuite right now and I've been using it for some time but want to move to Microsoft 365, which I've signed up for. My website is hosted on JustHost and I have a website through Wix.

    My questions is, how do I set up Outlook? Is it that JustHost transfers the e-mail to GSuite and then to Outlook? Can I get rid of Gsuite/Gmail altogether? We just haven't been happy with it and prefer to move in a different direction, I just don't know if it is still required to have it as the "e-mail server" per se. I'd prefer to get rid of it altogether as it's another cost I don't feel like incurring.

    What GSuite does to setup email routing might seem magical, but it isn't really. I'm pretty sure Office 365 takes the same approach.

    JustHost doesn't "transfer the e-mail to GSuite", it posts your DNS MX records to the internet, throughout all servers in the global network that manage Domain Names. JustHost (or Wix or whatever) never actually routes emails...the Internet does. Your domain host merely sends out updates of your MX Records to all the internet main hubs who manage domain name (DNS) propogation. (For instance, if I had a domain at JustHost, email from my desktop client would first route to my ISP (Comcast) to main hubs then finally GMail. JustHost would never appear in the Email Header Routing info when received. Later, after switching to Outlook, JustHost would push an update to the Internet DNS servers with Microsoft MX address, such that the final destination of email is Microsoft, yet still JustHost never touches the mail.)

    The MX record is modifiable by you from your Domain Hosting Control Panel (JustHost in your case). At the moment, these records are filled with addresses that Google provides. Likewise, Microsoft will give you email server names to provide, should you wish to stop using GMail and switch to Outlook.

    GSuite also has a Wizard to walk you through allowing it to edit the MX Records at your host, with seamless discovery techniques. I assume Office 365 offers the same thing.

    What I'm getting at is that GMail won't even know when you make the change to Outlook, but the Internet DNS servers will, as soon as you (or an Office 365 Wizard) modifies the MX record to use Microsoft servers. Then you (or your IT guy) would upload the old email backups to Outlook. You'll still be able to login to both GMail and Outlook inboxes once you setup accounts Office 365, but only one will actually be receiving the emails. I say this, because you'll still be able to access old mails via logging into your GMail accounts, which might be helpful while moving old emails.

    Thanks for the insight, really helpful. Do I need to maintain GSuite though or can I just move to Office 365? Or do I need an Exchange profile as well? This is the part that's most confusing.

    You don't need both.

    Let's say you had neither, would you even get Office 365? Do you need it? Maybe I read your post wrong thinking you want one of the two for their office productivity apps.

    For just email, you don't need to do that either. If you just want to use Outlook, then turn Webmail on for JustHost again, and JustHost will have a HOW-To page on how to set your IMAP/POP3/SMTP settings for any email client. That's the most common way....because it all comes with your JustHost account, no extra fees for GSuite or Office 365.

    One last clarification about my assumptions: I'm assuming when you activated GSuite, you turned off JustHost's Webmail service, which means your MX records will have google mail addresses in them -- something like ASPMX.L.GOOGLE.COM. If they don't, that means you already have Webmail turned on -- and are using GMail to suck email off the JustHost servers. If that's the case, you're ready to go; just duplicate the IMAP/SMTP settings in your Gmail account for Outlook's client.

    Anyhoot: if you have the Google addresses in the MX record, and have questions about changing those DNS records to JustHost addresses, their tech support will provide it. (It wasn't clear from their website what those settings are.)
